Assistant Project Manager

  • Manage and organize Dropbox for each client (putting documents taken from emails into the appropriate files, highlighting FINAL documents, etc..)
  • Permits: put together a package of all the documents required by each municipality and submit for permits, track the progress of the review and answer questions or get additional information, communicate with the superintendent regarding scheduling.
  • Put together a spreadsheet of which municipality wants what and how. Epermitting versus drop off, versus pick up.
  • Gather estimates from subs/suppliers and enter them into the budget along with Builder Trend.
  • Review estimates for accuracy according to the specification sheet and ask for RFP’s is updates are needed.
  • RFP’s during the process to help forecast for clients so they can make decisions to upgrade or downgrade
  • RFI’s with subs/suppliers about pending price increases so we can stay ahead of price increases.
  • Maintain and update the specification sheet as new selections are made. Manage in Builder Trend.
  • Order materials, track shipments and notify superintendents of material delivery eta’s and notify superintendents when materials have arrived and are either ready to be picked up or when and by whom the materials will be delivered to the job site.
  • Change orders with the Custom Construction Manager, gain approval from the client, coordinate with Operations for billing and file all change orders in Dropbox and on Builder Trend.
  • Material research and report back to Mike (ie: search out new options for special products through Google searches or the like).
  • New client intake:
    • Temp contract
    • Deposit
    • Contract
    • Signed budget

Experience/Requirements

  • Manage and organize Dropbox for each client (putting documents taken from emails into the appropriate files, highlighting)
  • Ability to be a self-starter.
  • Strong written and oral communication skills.
  • Excellent multitasking skills.
  • Ability to work under pressure with minimal supervision.
  • Excellent problem-solving skills.
  • Detail oriented and highly organized.
  • The ability to read architectural home plans.

Schedule

  • Monday through Friday, 8am – 5pm
  • Full time, some overtime will be required
  • Main office McMinnville.  Some travel to coast job sites and valley job sites will be required.
